The Pedan Buro agency helps create communication and media projects. The team consists of 15 employees and about 10 contractors.
In addition to commercial projects, the company implements own social initiatives. With the growth of the business and the expansion of work areas, processes became less transparent. Worksection helped structure the agency’s activities.

About the company
Pedan Buro is a communication agency that develops communication strategies for integrated promotion through PR and digital tools, influencer marketing, and video production. The agency implements both commercial orders and own projects in the field of education.Pedan Buro’s clients include more than 20 Ukrainian companies and organizations, including Nova Poshta, Uklon, KLO, Cinevo, EVA, and ATB. The bureau’s partners are UNICEF, UCBI, USAID, the Ministry of Education and Science, and others. All projects are implemented by the team of 15 specialists.
Request
At the beginning of the company’s work, tasks were organized through spreadsheets and chats. This was quite enough in the early stages of development, when the team consisted of up to 5 employees.
However, as the business scaled, this approach began to complicate the work. Tasks were lost, people in charge forgot about important aspects, and a lot of chats needed to be checked to find data.
Therefore, the company needed a tool that would restore transparency in workflows, ensure stable team growth, and minimize risks during project implementation.
Client’s challenges
Lack of transparency in workflows
Problem: Lack of transparency in workflows due to tasks being kept in spreadsheets and chats. As the team grew and the number of projects increased, this management format lost its effectiveness.
Tasks were getting lost, and it took a lot of time to find the right data. This created confusion, slowed down workflows, and increased the risk of missing deadlines.
Solution: Worksection was implemented to structure the processes. This solution gave the Pedan Buro team several advantages at once:
1️⃣ Adaptation to the team
Worksection allows you to quickly switch task display formats depending on your needs. This way, managers can customize the system’s interface for themselves.

“It’s more convenient for me to work with Kanban because I can see tasks in blocks: what’s in process, what’s being checked, and what can be closed. But everyone customizes the system as they see fit. My colleagues, for example, prefer lists,” Daria Karpenko, Partnerships Manager at Pedan Buro
2️⃣ Clear division of work areas
In addition to the standard statuses, the team added custom sets to detail processes. For example, “stuck” and “need help”.

3️⃣ Effective communication
Worksection allows you to communicate on each task separately in comments. Thanks to this, all files and updates are stored in one place and can be accessed at any time.

Coordination of commercial and social projects
The problem: With the expansion of work areas, in particular the emergence of internal educational projects, there was a need to coordinate different areas of activity: commercial and social.
Specialists often work on both types of projects at the same time. The lack of a clear workload distribution creates a risk of confusing tasks and delaying workflows.
Solution: Use Worksection to organize work, where each project gets its own space. Tasks are distributed among specialists, and labels help to better organize them by category and priority. This ensures transparency and efficiency in coordinating work across departments.
Team resource management
Problem: The lack of basic project management tools and the increased workload on the team led to an uneven distribution of resources. Without a system for monitoring tasks, the team could not distribute responsibilities and track the real workload of each employee.
Solution: Implementation of Worksection provided access to all the necessary tools for project management. Such as task statuses, prioritization, and a built-in accountability system.
“With Worksection, it has become much easier to plan and understand how busy people are and whether they have time to complete their tasks.” — Daria Karpenko, Partnerships Manager at Pedan Buro
Reports provide in-depth analytics on project progress in real time. Convenient filters allow you to customize the display of data depending on your needs, which allowed managers to better allocate resources and adjust processes in a timely manner to avoid missing deadlines.
Why Pedan Buro created the Worksection Awards
“I close so many tasks, maybe we should make an award?” — project coordinator Pedan Buro
It was this joking comment that gave rise to the idea of creating the Worksection Awards. That’s how the company decided to celebrate achievements and encourage the team to new achievements.
“Well, we just love jokes,” Daria Karpenko, Partnerships Manager at Pedan Buro
The award was organized by the company’s cultural department, which is responsible for planning extracurricular activities. In November, they announced the start of preparations for the award. Then Worksection’s internal analytics helped to collect all the data on the Pedan Buro team’s activities for the year and select the winners of the nominations.

Prize from the Worksection Awards
Each team member received his or her own award based on the number of completed tasks, special cases, and personal professional achievements.
“I am very glad that we have Worksrction. It used to be difficult to plan anything in advance. Now the work has become much more organized,” Daria Karpenko, Partnerships Manager at Pedan Buro
