Yulia Bielitska, the co-founder and marketing director of the Idea Digital company, shares how the marketing team optimizes its work and the tools they use to do it.
Yulia tells us more about the company, task trackers, and helpful tools for digital work.
Who we are
Idea Digital was created for creativity — for building precise strategies and crafting bright websites and memorable ad campaigns that hit the target dead-on.
Idea Digital handles SEO and PPC and promotes clients’ companies on social media.

In 2018, we delivered more than 70 projects, our team grew to 19 people and we developed more than 90 creative projects for customers.
Back at the very beginning, when the team was just a few people, we set tasks through a messaging app — namely Telegram. It’s handy for conversations with employees and clients, but it doesn’t let you run full-scale teamwork.
We searched for it, and we found it
We got to know the world of trackers with Trello.I t’s a handy task tracker for a small advertising company. But the company grew, and Trello’s functionality was no longer enough. Then we switched to Asana, but it’s expensive, and it didn’t catch on with the team.
How do you get a team used to working with task trackers?
It wasn’t easy in the early stages. What helped us adapt was a short guide for employees, which they had to follow to get used to the new process. Methodical people who know how to plan got the hang of Worksection quite easily.
In a month, we systematized every process in the company: from simple task assignment to employee reports in Worksection. After that, the system was up and running.
For a manager, the task tracker is an indispensable tool to support projects and to track results. Worksection facilitates project management in the advertising agency.

Management became easier
We divided everyone into teams: the website development department, the marketing department, the HR department, and other internal teams.
The “teams” section conveniently holds:
- Team name.
- The list of team members with their contact details and positions.

Deadlines
In Worksection, it’s convenient not only to communicate and assign tasks, but also to track whether they’re completed on time. When you log in to Worksection, the project’s task list immediately shows which tasks are on track and which have deadlines coming up.

Thanks to Worksection, I keep my finger on the pulse and know when I need to step in to get stalled processes moving and help the team.
Labels
We’ve created a set of labels for tasks and use them actively inside the system. We’ve assigned a separate set to each project, and now we label tasks to quickly grasp the stage and type of work.

Task board
In the marketing agency, tasks are managed on “Task boards” where work is done stage by stage. Our Worksection-based Task board is configured to display planned and preparatory tasks, tasks awaiting approval, tasks in progress and the final stage – reports.
For example, once a task has been discussed, it can be dragged from the “planned” stage to the “in progress” stage, where our specialist prepares the work and discusses its progress with the client.

Efficiency on the Go
The mobile app comes in handy in many situations. When you need to reply to a task urgently but don’t have a laptop nearby, you can do it right from your phone. I was very pleased to see that the core functionality has been ported to the app as well.
Even when I’m on the go, I can assign a task to an employee or reply to a client about a project, and I can see all the activity in my account right from my smartphone.
